An apprenticeship is all about learning and asking questions; to help you out we've answered some of the more frequently asked ones below. If we've missed anything just let us know!

  • Telephone your Site Supervisor before 9am on your first day of absence (if you are due on site that day); and
  • Telephone CoTrain on 0118 9207 200 before 9am on your first day of absence and provide regular updates so that we know when to expect your return to work.
  • When you return to work you must complete a self-certification form (available from CoTrain).
  • If you are off work with sickness for more than 7 days (including weekends) you will have to provide a doctor's certificate (if your doctor charges for this it will be up to you to pay)
  • Failure to follow this procedure will be recorded as ‘unauthorised absence’. Any unauthorised absences for whatever reason will lead to disciplinary action which could lead to dismissal.
  • At the end of each week, you will need to ask your Supervisor to sign and comment. It is then your responsibility to send it immediately to Julian Carter.
  • If there is a computer and scanner on site you should scan and email to Julian.carter@cotrain.org.uk
  • If this is not possible you should take a copy for your own records and post to Julian Carter, CoTrain, 100 Longwater Avenue, Green Park, Reading RG2 6GP
  • Alternatively you can take a photograph of the timesheet and email this to Julian if you are unable to do any of the above.
  • Incomplete and incorrect timesheets and late receipt could mean that you are not paid on time.
  • Be aware, timesheets that are completed fraudulently will lead to disciplinary action – so be honest about your hours worked.
  • If you would like to book a holiday, you will need to fill out a holiday request form giving as much notice as possible but with at least one week ahead for each day you would like to take off. (Copy available to download on www.cotrain.org.uk and on the CoTrain Facebook page) If this process is not followed, your requested holiday may not be granted.
  • If you have a doctor/dentist/hospital appointment, you must try and give at least 24 hours’ notice (and if possible provide proof of the appointment). These appointments should be either at the start or the end of the day to minimise your absence from your work placement/college. You must advise your Site Supervisor and CoTrain office.
  • Please note that during term time you are not able to take holiday. Exceptional circumstance will be considered but must be approved by BOTH site and college.
  • Providing you have handed your correctly completed, signed and authorised timesheet, you will be paid one month in arrears on the 25th of each month. Any adjustments e.g. payment for overtime will be paid in the following month.
  • If you require reimbursement for any travel outside your normal place of work, or are asked to purchase something for CoTrain, you will only be reimbursed if you have prior permission for the expense. You must produce a copy of the receipt and complete a CoTrain expenses form. You should submit this with your timesheet.
  • You may be asked by the site team to do overtime. If you are under 18, you cannot do overtime. If you are asked to do overtime, you must get written approval from both your site supervisor and from CoTrain before you do the work. If you do not get approval, you run the risk of not being paid for additional hours.
  • If your PPE becomes damaged through working on the site then CoTrain/CITB will replace it (free of charge).
  • If your PPE becomes damaged through misuse or because you did not take the proper care then you will be liable to pay for a replacement. This is also applicable if you lose your PPE.
  • Personal calling and sending text messages must not be carried out during your working hours. You must restrict the use of your phone to your statutory breaks.
  • If, at any point, your personal details change, you must contact CoTrain to inform us as soon as possible; failure to do so could result in missed communications and late pay.
  • CoTrain will discretionarily pay up to £25.00 per week for your travel to your placement
  • When you are first issued with your CSCS pass certificate, please ensure that you take a copy of it for your records and also email a copy to CoTrain for our records.
  • You will have been provided with a contacts card by CoTrain which has a space to record your CSCS number, please ensure that you fill this in.
  • Please take good care of the certificate and also your CSCS card when you receive it because if they are lost you will have rendered yourself unable to work.
  • If you have lost your CSCS card and/or pass certificate you will need to go to the CSCS website: http://www.cscs.uk.com/ and request a replacement.
  • Please be aware that if you lose this card you will have made yourself unavailable to work on site.
  • If you have an issue on site, it is best to speak to your line manager and they will instruct you on their processes on discussing a grievance. If you don’t feel comfortable approaching anyone on site in relation to the issue, then you should contact CoTrain and we will assist you.
  • If there is an issue with the way you are being taught at college, it is best to speak to your tutor, however if there is any other issue you can speak to your apprenticeship officer or to CoTrain.
